Privacy Policy

What data the Club collects, how it is used, and how we keep it safe. This is a draft for officer review.

What we collect

We collect the information you provide when you register or apply: name, UTD email address, major, graduation year, interests, bio, and optional profile photo. We also record activity you participate in through the site, such as event attendance, project contributions, achievements, points, and quiz or poll responses.

How we use your data

We use this information to manage membership, run events, award participation points, generate leaderboards and stats, send club announcements, and improve the club experience. Aggregated or anonymized data may be used for club reporting and sponsorship updates.

Who can see it

Officers can see the data needed to operate the club. Members can see their own data and public-facing profiles if you choose to make your profile public. Public profiles may show your name, points, tier, and project contributions. You can change your profile visibility at any time in your member settings.

Cookies and analytics

The site uses session cookies to keep you signed in and basic analytics to understand how members use the platform. We do not sell your data or use it for advertising.

Keeping your data safe

We store data on secure infrastructure, use HTTPS, and restrict access to officers. Passwords are hashed and never stored in plain text. If you believe your account has been compromised, contact an officer immediately.

Your rights

You can update or delete most of your data from your member profile. You may also request account deletion or a copy of your data by contacting an officer. We will process reasonable requests as quickly as possible.
